New client onboarding

Everything that happens between proposal acceptance and first deliverable.

What the agent handles

The Hilda Onboarding Agent reads the acceptance email, extracts client name and services, creates the ClickUp list and service-specific tasks with assignees and sequential weekly dates. Strategy is always scheduled the week after audit.

Everything below is NOT handled by the agent.

Manual setup

  • Decide brand assignment: HH or MM (see client roster branding rules)
  • ClickUp list in HH Clients folder
    Note: List creation in the HH Clients folder (folder ID 90169080605) fails via MCP and must be created manually in the ClickUp UI.
  • Google Drive client folder created from the standard structure
  • Source of Truth doc created and seeded
  • Slack channel created (if client tier includes Slack)
  • Client added to the meeting cadence schedule

Access requests

  • GA4 property access
  • Google Search Console access
  • Google Ads account link (if applicable)
  • Meta Business Manager access (if applicable)
  • GBP access (if applicable)
  • Website CMS access
  • Email platform access

Systems wiring

  • GA4 property ID added to GA4_IDS in hedgehog-master-reporting
  • Client record created in the Burrow (onboarding wizard) and login issued
  • Looker Studio dashboard duplicated and connected
  • Client SOT skill / brand reference created in hh-skills if the engagement warrants it
  • If MM client: added to MM autopilot config (Supabase texktztyyacsvdkgxbkr) and MM LP pipeline if LPs are in scope
  • If HH client with paid media: added to relevant HH autopilot config (Supabase fcwuqbexvggjvwgdpnya)

First-month rhythm

Week 1 audit, week 2 strategy, mid-month check-in from the first full month, planning report at month end. The cadence follows the same structure as ongoing clients from day one. See Reporting guide for report format and Meeting cadence for the meeting schedule.
